What we collect

Information you give us directly. When you use our contact form, email us or call, we collect what you send: your name, company, phone number, email address, site address, project details and work dates, plus any files you upload, such as plans, council letters, RFIs, photos and methodology documents. Uploaded files often contain other people's details too (neighbours' names, property records); we treat everything you upload as confidential project material and use it only for the work you asked us about.

Website analytics. With your permission, we use Google Analytics 4 (GA4) to understand how people find and use the site. Analytics stays off until you choose “Allow analytics”. If enabled, GA4 receives device, browser, approximate-location and page-visit information; we have disabled Google signals and advertising personalisation. You can change your choice at any time using the “Privacy settings” button. Refusing analytics does not stop the site working.

Why we collect it

• To identify the next step for your project and prepare a quote
• To prepare and lodge consent, corridor access and traffic management applications on your behalf
• To communicate with you about your enquiry or job
• To improve the website (analytics only) and meet our legal and record-keeping obligations

We do not sell your information. We do not use your plans or letters for marketing.

Who sees it

• Our team, to do the work you asked for
• Our website and email hosting providers: contact-form details and attachments are processed by our server and sent to our CiviEase email account so our team can respond
• Councils and road controlling authorities (Christchurch City Council, Selwyn, Waimakariri, Ashburton, ECan, Auckland Council, Auckland Transport, NZTA and others), but only the information an application genuinely requires, and only on your instruction
• Google, for GA4 analytics only after you allow analytics, and anyone the law requires us to disclose to

Where we use an overseas-based provider, we take reasonable steps to ensure your information is protected to a standard comparable to the Privacy Act 2020, as required by Information Privacy Principle 12.

Storage and retention

We keep project records while your job is active and afterwards only for as long as we reasonably need them, for example, to answer council queries about past applications or meet tax and legal obligations. Enquiries that do not proceed are reviewed and deleted when they are no longer required. You can ask us to delete your information earlier (see below), subject to any legal obligation to retain it.

Your rights

Under the Privacy Act 2020 you can ask for a copy of the personal information we hold about you, ask us to correct it, and ask us to delete it (subject to legal obligations to keep some records). Email information@civiease.co.nz or call 08000 CIVIL and we'll action it. If you're not satisfied, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
